Opportunity in Weston for a driven professional with an accounting degree or several years of general accounting experience to expand their accounting knowledge as an accounting professional at a law firm. The candidate will be responsible for processing a high volume of bills as well as supporting the day-to-day accounting operations of the firm. The duties include assisting with editing and maintaining prebills, accounts payable/receivable, invoice submission, and other accounting and administrative functions. Our ideal candidate must have a high-quality level of customer service, effective communication, professionalism, and interpersonal skills, as the role requires various interactions with management, attorneys, and other staff. The successful candidate will also be well organized, technologically advanced, be able to multi-task, use time efficiently, perform professionally under tight deadlines and in a fast-paced environment, and successfully prioritize and adapt to changing demands.
 
Job Duties

  • Understand and assist in all aspects of the monthly client invoicing cycle, including editing and submitting invoices via multiple different billing platforms.
  • Perform all billing functions and transactions.
  • Perform expense reconciliations for all American Express cards each month, including necessary follow up for missing receipts.
  • Open matters and enter budgets for clients/matters.
  • Perform accounts payable and accounts receivable functions.
  • Perform bank deposits for trust and operating accounts, including scanning and saving support.
  • Protecting assets by following and enforcing internal controls.
  • Maintaining strict confidentiality of financial information and business plans.
  • Understand and assist in the processing of vendor payments, including entering invoices, obtaining W-9s, scanning support, mailing checks.
  • Help to maintain, reconcile, identify, analyze and interpret trends or patterns in general ledger accounts to assist in providing answers to business questions.
  • Present data and analysis in a clear and concise manner to firm management.
  • Support continuous improvement within team by ensuring the best processes are in place from an operational and financial perspective with direction from management.
  • Complete special projects for the firm primarily involving running, gathering and summarizing financial information from various systems and helping maximize efficiency.
  • Help to identify weaknesses in controls and variations from accounting methods, and recommend appropriate changes/controls to management.
  • Prepare Journal Entries as necessary to comply with month/year end closing procedures.
  • Respond to ad hoc billable hours, expenses and other requests from Attorneys, clients, and managers.
  • Perform other related duties and administrative tasks as needed, such as scanning, copying, mailing, etc.
  • Reception back-up as needed.

 
Required Education, Experience, and Skills

  • Bachelor’s Degree in Accounting or equivalent experience.
  • Strategic and technical accounting abilities.
  • Ability to work in fast-paced environment with demonstrated ability to coordinate multiple competing tasks and demands.
  • Close attention to detail with a high degree of accuracy.
  • Expert in Microsoft Office Suite, especially Excel, including high proficiency in pivot table and VLookup functionality.
  • Strong understanding of accounting processes.
  • Effective written and verbal communication skills.
  • Exercises good judgment.
  • Client-focused attitude with excellent interpersonal skills.
  • Excellent problem solving, organizational and analytical skills.
  • Team player and a quick learner, with an ability to easily adjust to changes
  • Ability to review and analyze large data sets.
  • Technologically advanced, aptitude for querying and computer software, experience using current Windows Operating System, Microsoft Office applications, Excel, Pivot Tables, and Elite ProLaw accounting system or similar program preferred.
  • Aptitude for continuous improvement and efficiencies.
  • Ability to be a self-starter who can manage priorities, meet deadlines, and collaborate with other team members and assist others throughout the firm.

 
Preferred Skills/Experience

  • Elite ProLaw Software experience
  • Law firm experience strongly preferred
  • Understanding of various client billing guidelines and procedures; “ebilling” experience
  • Proficiency with programs such as: Legal Tracker, Quovant, ELMS, Tymetrix, Acuity, Serengeti, and CounselLink
