Paralegal – Assistant IP Administrator

Tampa, FL, USA 
 
The firm is seeking an Assistant IP Administrator to support its growing national intellectual property practice group.
Responsibilities

  • Prepare patent, trademark, and copyright application and maintenance filings
  • Create IP assignment, power of attorney, and chain-of-title documents
  • Draft patent formalities documents and information disclosure statements
  • Conduct preliminary trademark clearance searches
  • Maintain and update IP docketing management system; docket incoming and outgoing papers and communications
  • Draft initial office action responses
  • Perform IP due diligence, chain-of-title, and ownership searches
  • Investigate specimens of use for trademark filings
  • Correspond with clients and prepare reporting letters
  • Instruct and correspond with counsel for international IP filings
  • Generate IP status, attorney docket, and other reports as needed
  • Collaborate with attorneys and legal administrative assistants to manage IP deadlines
  • Provide advanced administrative support to the firm-wide IP Administrator by participating in day-to-day departmental administrative affairs
  • Investigate infringement and draft cease and desist letters for attorney review
  • Provide support for intellectual property dispute proceedings before US federal district courts, and preferably the TTAB and PTAB
  • Familiarity with managing USPTO deposit account and financial systems

Minimum Requirements

  • Previous experience in an IP role within a law firm or corporate legal department managing IP prosecution filings.
  • Knowledge of US patent and trademark laws and procedures.
  • Familiarity with US copyright laws and procedures, international IP laws and procedures (e.g., PCT, Madrid filing protocols), administrative IP dispute procedures, and IP litigation procedures is desirable.
  • Proficiency with IP docketing management software.
  • Excellent organizational skills and outstanding attention to detail.
  • Excellent written communication skills.
  • Ability to manage multiple projects and deadlines is crucial in this role.
  • Proficiency in Microsoft Office.
  • Familiarity with domain name registration, maintenance, and dispute procedures preferred.
  • Familiarity with other software tools commonly used in law firm IP departments (e.g., search tools).
  • High school graduate required; associate or other undergraduate degree preferred.
This is not remote position.  The ideal candidate must be available to work on-site Monday – Friday, 7.5 hours each day.
