Real Estate Legal Assistant for Regional Firm- West Palm Beach location
Summary
The Real Estate practice has a rare opening for a Legal ADMINISTRATIVE Assistant that will play an important role in providing excellent legal administrative work while ensuring the delivery of excellent service to their clients.
You will work on:
Complex real estate transactions.
handling various responsibilities, including prioritizing and managing multiple tasks,
Communicating professionally with clients and colleagues
Collaborating with different firm-wide departments.
Duties and Responsibilities
Experience in commercial real estate transactions, including, but not limited to Purchase and Sale Agreements and Leasing.
Skilled in preparing, reviewing, redlining legal documents; taking pride in your work as an administrative legal assistant.
Process electronic and paper billing.
Review prebills for accuracy and completeness.
Input necessary edits to timekeeper narratives.
Proficient Microsoft Office, including extensive knowledge of Outlook, Word, Excel, and PowerPoint.
Consistently deliver outstanding client service.
Consistently deliver excellent administrative work to the Attorneys.
Effective verbal and written communication skills.
Opening new matters and generating client conflict checks;
Arranging for payment of invoices;
Application of checks to appropriate client/matter numbers;
Prompt preparation of attorney’s expense reports; scheduling and maintenance of attorney’s calendars;
Manage and track critical deadlines
Process incoming and outgoing mail and other correspondence; Answer, screen, direct, and place telephone calls and emails;
Arrange video conferencing and schedule internal and external conference calls with clients;
The following is a list of some of the important things we would like to see in a candidate:
3+ years of law firm experience preferred.
Commercial Real Estate (transactional) required.
Attendance, punctuality, dress code, and professionalism is very important to your success
Excellent grammar, spelling, punctuation, and communication skills.
Exceptional attention to detail and accuracy and good organizational and analytical skills.
Flexibility- while maintaining a high level of precision.
Experience working with law firm case management and billing software.
Experience in iManage and/or Coyote is a plus.
Flexible for overtime, as needed.
