LEGAL ASSISTANT WITH TRUST & ESTATES EXPERIENCE
Overview
The WPB Office of a prestigious firm is looking to hire an experienced legal assistant with trusts and estates experience. This is an opportunity to join a top law firm and work closely with a collegial group of attorneys and staff. The firm represents high net worth individuals and requires knowledge and experience in trusts and estates A successful legal assistant will perform administrative and client-specific work to support the Firm’s objective of distinguishing itself through exceptional service.
Responsibilities:
Independently perform a full range of administrative support for attorneys
Manage client communication, including phone calls and emails to schedule appointments.
Schedule and arrange client document execution meetings, including serving as a witness and/or Notary Public; ensure appropriate attendee availability; prepare documents; and confirm that original documents are properly executed and handled in accordance with department protocols.
Remind attorneys and staff of deadlines for each case.
Type, edit, format, and proofread a variety of moderate to complex documents, and assist with assembling documents in preparation for client document execution or electronic filing.
Manage and organize file systems (both digital and paper).
Work with other timekeepers and legal assistants as needed to complete assignments and meet deadlines.
Work collaboratively with internal departments as needed.
Qualifications/Requirements:
4+ years of Trusts and Estates legal administrative experience.
Experience handling a wide range of administrative tasks.
Experience in making travel arrangements.
Ability to effectively manage conflicting priorities.
Excellent verbal, written, organizational, analytical, and interpersonal skills.
Ability to produce accurate draft documents from a variety of sources.
Experience with court and regulatory agency procedures for Florida courts.
Ability to work independently with minimal supervision while contributing to a team.
Demonstrate a high degree of professionalism, confidentiality, discretion, and decorum.
Must possess the ability to learn and use advanced software applications.
