A prestigious law firm in West Palm Beach is seeking an Office Services Specialist to join their team. This position supports daily office operations and ensures a smooth, organized, and professional environment.
Job Responsibilities:
Mail & Shipping:
Pick up, circulate, and drop off mail and newspapers.
Handle all shipping procedures for UPS and FedEx.
Conference Room Support:
Conduct daily morning checks to confirm all meetings are properly set up and broken down.
Set up video/audio equipment, projectors, beverages, and catering.
Clean and tidy conference rooms, including wiping down credenzas, tables, and chairs.
Office Support & Administrative Tasks:
Assist with overflow work and office coverage.
Filing, library maintenance, records relocation, and transfers.
Copying, faxing, scanning, mailing, and project support.
Serve as a backup receptionist when needed.
Supply & Inventory Management:
Daily restocking of paper, coffee station supplies, and copy centers.
Manage weekly kitchen supply orders; unpack and stock groceries.
Maintain inventory of office equipment (laptops, projectors, air cards, remotes, speakers).
Facilities Coordination:
Assist with facilities management by placing service calls and interacting with vendors.
Requirements:
3+ years of office support experience (law firm experience strongly preferred).
Proficiency in Microsoft Office (Outlook, Word) and basic internet use.
Ability to lift up to 65 lbs.
Strong organizational and prioritization skills.
